Privacy Policy

Toronto Academy of Education (“Toronto Academy”, “we”, “us” or “our”) is committed to protecting your personal information. This Privacy Policy explains what we collect, why we collect it, how we use and protect it, and the choices you have.

This policy applies to every interaction you have with us – in person, by telephone, in writing, or through our website at torontoacademy.ca (the “Site”).

We comply with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable provincial legislation.

By using the Site or providing us with your personal information, you accept this policy. If you do not agree with it, please do not use the Site or send us your information.


What We Mean by Personal Information

Personal information is information that identifies you as an individual – your name, age, home address, email address and telephone number.

It does not include publicly available information such as business contact details or a public directory listing, or information that has been aggregated so it cannot be linked to any specific person.


What We Collect

Information you give us. When you complete a form on the Site, book a virtual appointment, apply to a program, email us or call us, we collect the details you provide – typically your name, email address, phone number, the program you are interested in, and anything else you choose to tell us.

Information collected automatically. When you visit the Site we may collect your IP address, browser type, the pages you view, the page you arrived from, how long you spend on the Site, and similar technical data.

Information from third parties. We may receive personal information from business partners or other third parties, but only where they confirm they have your consent, or where we have obtained it ourselves.


Why We Collect It

We collect, use and disclose your personal information to:

  • respond to your enquiries and correspond with you about programs
  • process applications, enrolments and student records
  • deliver our programs, services and workplace placements
  • meet our obligations as a registered career college under the Ontario Career Colleges Act, 2005
  • process payments and manage billing
  • improve the Site and the services we offer
  • send you information about programs, events and services, where you have asked to receive it

We do not use your personal information for any other purpose without your consent, except where required by law.


Marketing Communications

If you indicate that you would like to hear from us, we may contact you about programs, courses, events and services that may interest you, using the methods you consented to.

You can opt out at any time by using the unsubscribe link in any email we send, or by contacting us directly. Opting out of marketing does not affect the information we send you about a program you have applied to or enrolled in.


Who We Share It With

We do not sell, rent or trade your personal information.

We share it only in these circumstances:

  • Service providers. We use third parties for services such as website hosting, email delivery, customer relationship management, appointment scheduling and payment processing. They may access your information only to perform those services for us, and are bound by agreements requiring them to protect it.
  • Placement partners. Where a program includes a workplace placement, we share the information necessary to arrange and supervise that placement with the host organization.
  • Regulatory requirements. We may disclose information where required by the Ministry of Colleges and Universities, or as otherwise required by law, court order or subpoena.
  • Aggregate information. We may share non-identifying, aggregated data about applicants and Site use with affiliated organizations for research and service improvement. This never includes information that identifies you.

Cookies and Similar Technologies

The Site uses cookies – small text files stored on your device – to understand how visitors use the Site and to improve it.

We may also use web beacons, pixels and similar technologies, which typically work alongside cookies to record that a page was visited.

Most browsers accept cookies by default. You can set yours to refuse them, though some parts of the Site may not work properly as a result. Turning off cookies does not stop web beacons detecting page visits, but the information they generate can no longer be linked to other data.

The Site contains links to other websites. Those operators may collect your information and set their own cookies. We are not responsible for their practices, so please review their privacy policies before providing them with your information.


How We Protect Your Information

We use physical, organizational and technological safeguards to protect personal information against loss, theft, and unauthorized access, disclosure, copying, use or modification.

In practice this means: electronic records are password-protected and accessible only to authorized staff; paper files are kept in locked cabinets at our office; the Site uses a secure server for information sent to us; and backup copies are stored securely off-site.

Where we use third parties for storage or processing, we require them to protect your information to at least the standard described in this policy.

No method of transmitting or storing information is completely secure. While we take appropriate steps to safeguard information in our control, there is always some risk that information sent by email, telephone, fax or courier may be lost, intercepted or altered. We cannot guarantee that such exchanges will always be received or be free of viruses, and we assume no liability for loss, costs or damages arising from them.


Storage Outside Ontario and Canada

Your personal information may be processed or stored outside the province where it was collected, including outside Canada, by us or by our service providers.

Where this happens, your information is subject to the laws of the country where it is stored, and foreign courts, law enforcement or regulatory agencies may in some circumstances be entitled to access it without notice to you. We ensure any such transfer is permitted by applicable law. By submitting your personal information, you consent to this transfer, storage and processing.


How Long We Keep It

We keep personal information only as long as necessary for the purposes it was collected for, or as required by law. Student records are retained for the period required under the Ontario Career Colleges Act, 2005 and its regulations.

Paper files are destroyed securely when no longer needed. Electronic files, including scanned documents, are kept indefinitely unless you ask us to delete them, in which case we will do so securely, subject to any legal retention requirements.


Accessing and Correcting Your Information

You have the right to access the personal information we hold about you, and to ask us to correct it if it is inaccurate or incomplete, subject to any legal restrictions.

Please tell us about any change to your name, address or other details so our records stay current. If we have disclosed inaccurate information to a third party, we will contact them to correct it.

To request access, please write to our Privacy Officer using the contact details below. Please allow up to four weeks for a response.


Changes to This Policy

We may amend this policy at our discretion. The date at the top shows when it was last updated. By continuing to use the Site, you agree to the current version of the policy.
